Executive Assistant to the CEO

Signal Group, a top modern public affairs agency located in D.C, is seeking a highly organized, proactive and detail-oriented Executive Assistant to join our team. This role will provide high level administrative support, ensuring the day-to-day workings of the CEO run smoothly and efficiently. The Executive Assistant will collaborate with many teams across Signal, such as the Executive team, finance and operations.

What You'll Do:

  • Manage and prioritize CEO’s calendar, scheduling and coordinating logistics for meetings, travel and events to optimize time and efficiency
  • Anticipate CEO’s needs and proactively adjust schedule based on competing priorities
  • Prepare and submit detailed, accurate expense reports for the CEO and other Executive members, ensuring compliance with company policies and budgets
  • Liaise with the finance team to resolve any discrepancies or issues related to expense reporting
  • Route all contracts and approvals to CEO for signature
  • Support the CEO with various projects and special initiatives, tracking progress, key milestones and deadlines
  • Monitor incoming communications, prioritizing and responding on behalf of the CEO when necessary
  • Draft, review and edit correspondence, presentations and other materials on behalf of the CEO
  • Research, synthesize and prepare briefing materials for the CEO
  • Assist in planning and coordinating internal and external events, including conferences, client meetings, and company all staff meetings
  • Proactively plan and coordinate key milestones 3-6 months in advance to facilitate thoughtful, personalized gifting for business relationships — with a focus on special occasions, holidays, and achievements — in partnership with CEO and other Executive members

  • Maintain absolute discretion with sensitive information and always maintain confidentiality
  • Excellent organizational skills and the ability to manage multiple competing priorities
  • Strong verbal and written communication skills with high level of attention to detail
  • Proactive in the work and not waiting for direction, but rather seeking solutions before being asked or prompted
  • Responsible and builds trust amongst staff members and with diverse stakeholders
  • Brings a positive, “can-do” attitude and excited to be a part of the company culture, finding ways to improve it

Qualifications:

  • 3-5 years of executive assistant or administrative assistant experience, preferably in public affairs, government relations or consulting firms
  • Exceptional verbal and written communication skills, with a knack for diplomacy and discretion
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint, Teams)
  • Experience in expense management platforms
  • Experience with travel booking and utilizing rewards programs
  • Comfortable managing up to executives and communicating across various levels
  • Familiarity with Washington, D.C.’s political and business landscape

This position is based in the Washington, D.C. area.

We believe in supporting our team and offer a generous salary and benefits package. The salary range for this role is $55,000 to $70,000.
